Syncing Data Between Inventory Base and Reapit

Learn how to sync data between Inventory Base and Reapit, including property matching, report syncing, and meter readings.

The Reapit Group is a leading provider of CRM and property management software, specialising in the residential real estate sector. The integration between InventoryBase and Reapit seamlessly syncs property data from your Reapit account into InventoryBase, streamlining your workflow and enhancing data management.

Please note that the Reapit integration works at the account level only.


Before You Start

Before syncing any data, ensure that your Reapit integration is fully connected and configured.

If you haven't set up the connection yet, follow our Connection & Settings guide to complete the setup. Proper configuration is essential to ensure your data syncs accurately and without issues.


Syncing Properties from Reapit

💡IMPORTANT

When syncing properties from Reapit to Inventory Base, the system will handle matches based on property details and address:

Exact Match: If a property from Reapit exactly matches an existing property in your Inventory Base account (both address and property details), Inventory Base will automatically update the existing property with the latest data from Reapit.

No Exact Match: If no exact match is found (either the address or property details do not align), Inventory Base will create a new property using the information from Reapit to ensure all data is captured.

1. Navigate to the Settings tab on your online dashboard and click on the Integrations tab:

2. Scroll down to Reapit integration and click on the Sync Properties button:

3. Once your property is synced - whether updated or newly created in InventoryBase - a Reapit ID will be automatically linked to the property:

4. If a property does not have a Reapit ID (and does exist on your Reapit account), you can link it manually.


Syncing Contacts

When properties sync from Reapit to Inventory Base, landlords and current tenants are included, allowing for reports to be delivered automatically. Contact data should be managed in Reapit, as any changes in Inventory Base will be overwritten during the next sync.

1. Navigate to the Contact Settings tab under the Reapit integration settings:

  • Tenant import options

  • Landlord import options

2. Adjust the settings to align with each contact's preferred notification and communication preferences.

💡 The contacts that are synced through from Reapit will appear on the inspection with the preferences that you have adjusted under your Reapit settings.

3. If you need to update a contact's communication preferences after a property or inspection has been created, you can do so from the Info tab within the Property or Inspection.

Simply click on Manage to adjust the settings as needed.


Assigning Reports to Team Members

If a Negotiator or Clerk has been assigned to the appointment in Reapit and they exist in your InventoryBase Team with the same name and email address, they will be automatically assigned to the inspection.

If no match is found using both name and email address, we will then try to match by email address only. If still no match is found, we will finally try to match by name only.

If no matching user is found after these checks, you will need to manually assign the report within Inventory Base, or managers can self-assign as needed.

💡 You also have the option to exclude inspections for Negotiators marked as Inactive in Reapit, preventing them from being imported into Inventory Base.


Syncing Reports Back to Reapit

Once you or the assigned Clerk / Negotiator marks the report as complete, Inventory Base will automatically generate a PDF copy and upload it to the Property Documents in Reapit.

Additionally, the system will create the relevant journal entries for tracking.

Once the PDF has synced to Reapit, navigate to the Letters tab to view the uploaded document:

Navigate to the Journal and Diary Entries section (Miscellaneous folder) to view the journal entries for tracking.


Syncing External Providers as Approved Suppliers

Inventory Base now recognises external providers from Reapit when importing appointments.

1. Assign a Provider to the job on Reapit:

2. If an appointment includes a Provider whose name matches an Approved Supplier in your Inventory Base account, they will be automatically assigned to the imported inspection.

3. For all supplier-direct inspections, Inventory Base will also attempt to match the Approved Supplier to an Other Agent (Company) within Reapit:

  • We first check if a Reapit company exists with the same name as the Approved Supplier and has the approved supplier type enabled. If found, that company will be assigned as the Other Agent on the appointment.

  • If no matching Reapit company is found, Inventory Base will automatically create one using the same name and email address as the Approved Supplier.


Uploading Inspection Reports as Final Documents

Upload the PDF report to Reapit as a Final Report, automatically triggering the next scheduled appointment in the tenancy's recurring inspection cycle.

Navigate to the Reapit Settings and toggle On the Upload reports as Final Document button:

For this to work, the following conditions must be met. If any of these are not, the report will be uploaded as a standard report, which will not trigger the next scheduled appointment:

  • The appointment must be associated with a tenancy

  • The appointment must be of the Property Inspection type within Reapit

  • The upload location must be set to Tenancy


Syncing Meter Readings to Reapit

Once an inspection is marked as Complete, Inventory Base automatically syncs the meter readings to the corresponding property in Reapit, streamlining the process.

We take the readings from a Meters block in the report.

We sync the following types of meters:

  • Gas

  • Electric

  • Water

To ensure accurate syncing, the meter items in the Meters block should be clearly labeled with these names, allowing us to capture the readings (condition).

Meter readings are only supported for Reapit properties with a marketing mode of Lettings or Sales and Lettings.

This feature will not apply to properties listed for sale only.
