Integrating InventoryBase with SME Professional

Integrate with SME Professional for streamlined management of your properties and other business operations using cloud-based software.

InventoryBase integrates seamlessly with SME Professional, enabling property professionals to streamline their operations.

When an inspection is created and completed in InventoryBase, key details including the visit date, PDF report URL, and web report URL are automatically synced to your SME Professional account. This integration ensures that property managers can efficiently manage inspections, access detailed reports, and maintain accurate records across platforms, enhancing overall productivity and client service.


Getting connected

1. On your online dashboard, click on the Settings tab >> click on Integrations:

2. Scroll down to the SME Professional integration >> click on the blue Connect button:

3. Paste in the SME Professional API key. You will need to contact the SME team to retrieve this.

Once you paste in your API key, press on the green Connect SME Professional to link your software:

4. Once connected, your will see the SME Professional settings available:


Setting up your SME Professional integration

πŸ’‘ We recommend that our users thoroughly review and configure the settings to complete the integration setup before transferring any data.

1. Click on the blue Settings button:

2. From these settings, you can select the property data you would like to import:

  • Property types

  • Property statuses

  • Property statuses for estate agents

Press the green Save button once you have selected your specific preferences.

3. The system allows you to enable a daily sync of your properties/inspections from SME Professional to pull through to Inventory Base:

4. You can also decide the specific contact preferences that should apply when importing the Tenant / Landlord contact(s):

  • Deliver: the contact will receive a copy of the web report when the inspection is marked as Complete

  • Notify: the contact will be notified of the conduct date and any changes made to the appointment date

  • Signature: the contact's signature will be required on the completed report (and they will sent an email including the report)


Syncing your data from SME Professional

1. When you're ready to import your data from SME Professional into InventoryBase, click on the green Sync Contacts and Properties:

2. Once the system reads the data and is ready to import, you will be informed of which data is going to pull through.

Press the green Confirm button to proceed with the import:

3. The system will notify you once the data is transferred into your InventoryBase account:

πŸ’‘ When syncing properties between SME Professional into InventoryBase

  1. Exact Match: If a property from SME Professional matches an existing property on your InventoryBase account in both address and property details, InventoryBase will update the existing property with the latest information from SME Professional.

  2. No Exact Match: If a property from SME Professional is synced to InventoryBase but the address or property details do not exactly match any existing property in InventoryBase, a new property will be created in InventoryBase using the information from SME Professional.

4. Properties synced from SME Professional to your InventoryBase account will have a stamp to say that the property was added via SME, and you will also see a unique SME Professional ID associated to the property.


Syncing inspections from SME Professional

1. If you added an inspection/appointment to a property on the SME side, and you want to sync that data through to the property on the InventoryBase side, press the green Sync Inspections button:

The system will notify you once the data is transferred into your InventoryBase account:

Just like a property, any inspection created from SME Professional will have an stamp that states the inspection was Added via SME:

πŸ’‘ InventoryBase runs an automatic sync of properties and inspections from SME Professional at separate times:

  • properties at 03:00 AM UTC; and

  • inspections at 05:00 AM UTC.


Syncing actions back to SME Professional

With the SME Professional integration, you can automatically sync any actions flagged on your reports back to your SME Professional account as maintenance issues. The report + actions will sync back to SME as soon as you mark the inspection as Complete.

1. Under the SME settings, toggle the Sync Actions to SME as maintenance issues as On:

Choose how you would like the actions to be grouped when sent to SME:

  • Ungrouped: creates one issue on SME per action

  • By Category: creates one SME issue containing multiple actions

  • By Report: creates one SME issue with all the actions from that specific report


Sending your reports/actions to SME Professional

When an inspection is created and then marked as Completed on Inventory Base, it will append the report URL and report's actions to the appointment comments on SME Professional.

The following information is then synced back to your SME Professional account:

  • Visit Date

  • PDF report URL

  • Web report URL


πŸ†• Syncing your meter readings back to SME Professional

With the latest updates from the SME Professional team, you now have the ability to sync your meter readings captured on your report back to SME.

1. You will need contact SME Professional directly with a request for a new set of API keys that include the meter readings feature enabled.

2. Once you receive your new API keys from the SME team, you will need to disconnect the SME integration on your InventoryBase integrations' list:

3. Clear cookies on your browser and/or hard refresh, and then continue to re-connect your SME Professional integration with your new API keys.

4. Any meter readings within your report will now sync back to SME Professional:
