Inventory Base + Reapit: Setup & Settings

Learn how to connect Inventory Base with Reapit and configure your settings for seamless integration and data syncing.

The integration between Inventory Base and Reapit seamlessly syncs property data from your Reapit account into Inventory Base, streamlining your workflow and enhancing data management.

Please note that the Reapit integration works at the account level only.

To make the setup process even easier, we’ve included an interactive walkthrough below. It visually guides you through the full Inventory Base + Reapit integration.


Getting Started

  1. Log in to your Reapit account.

  2. Navigate to the App Marketplace.

  3. Search for Inventory Base.

  4. Click on the app and click on Enquire about Integration.

ℹ️ If you’re part of a larger organisation, your IT department may need to authorise the integration.

5. After clicking Continue, an email is sent to the Inventory Base Sales team, who will contact you within 48 working hours to complete the setup.

💡 If you have not been contacted within 48 working hours, please contact your account manager or our support team.

6. The Inventory Base team will schedule a call to ensure a smooth integration between your Reapit and Inventory Base accounts. During the call, they’ll also brief you on the integration costs.

ℹ️ After connecting Reapit to Inventory Base, only the Owner or Admin team members can access the Reapit settings.


Configure Your Reapit Settings

❗We recommend that you thoroughly review and configure the settings to complete the integration setup before transferring any data.

1. Navigate to the Settings tab on your online dashboard and click on the Integrations tab.

2. Scroll down to Reapit integration and click on the blue Settings button.

3. Before syncing, customise your settings to select the property data you want to import:

  • Marketing Mode

  • Letting Status

  • Agent Role

  • Appointment Types

  • Tenancy Types to Sync Contacts for

💡 All appointment types, except Inventory, Check-In, and Check-Out, will be synced as 'Standalone Inspection' reports with a custom title.

Landlords and tenants are imported along with appointments.

💡 To exclude properties with unselected appointment types, tick Remove Empty Properties of Unselected Types in the bottom left corner of the Property Settings box.

4. Click on the Select Offices button to choose which office's data you would like to import.

5. Tick the offices that you would like to import the data for and click on Save.

6. There are several other important settings to configure. These are grouped into the following Settings Categories:

  • Properties

  • Diary / Appointments (Inspections)

  • Tenancy Inspection Schedule

  • Contacts

❗ Please go through the list carefully and adjust them according to your needs.

7. Choose where your documents should be stored in Reapit:

  • Property – Saves documents under the property's record.

  • Tenancy – Saves documents under the tenancy's record

ℹ️ For this to work, the following must be true. If any are not, then we will upload as a standard report, which will not trigger the next scheduled appointment.

  • Appointment must be associated with a tenancy

  • Appointment must be Property Inspection type within Reapit

  • Upload location must be Tenancy

8. Choose the timeframe for scheduling the next appointment period:

  • 7 Days

  • 14 Days

  • 30 Days

  • 60 Days

  • 90 Days

  • 180 Days

  • 360 Days


Map Reapit Document Types to Inspection Types

This feature lets you pull your existing Document Types from Reapit and assign them to specific Inspection Types within Inventory Base. Once set up, completed inspection PDFs will automatically sync back to Reapit under the correct document type in the Letters tab.

This helps keep your reports neatly organised and ensures every inspection file appears in the right place, reducing the need for manual sorting or adjustments.

ℹ️ Contact our Support Team to enable this for your Reapit integration.

1. Under your Reapit Settings, click Sync Document Types to import all existing document types configured in your Reapit account.

2. Set a Default Document Type — this will be used for any inspection types in Inventory Base that aren’t linked to a specific Reapit document type.

3. To link specific Inspection Types to a Document Type, go to your Reports tab under Settings, then click Manage Types.

4. Open the specific Inspection Type, then assign the corresponding Reapit Document Type from the dropdown list.

5. Once inspections are marked as Complete, the report PDFs will automatically sync to Reapit under the specified Document Type in the Letters tab.
