Integrating InventoryBase with Reapit Estate Agency Software

Integrating with Reapit CRM to simplify creating inspections on Inventory Base.

The Reapit Group is a property software provider of CRM and property management solutions specialising in the residential real estate sector. The integration between Inventory Base and Reapit works by syncing your properties from your Reapit account into Inventory Base.

Please Note: The Reapit integration only works at account level and you can do this either on your Inventory Base or Reapit account.

This is a feature add on; please speak with our sales team for more information and to enable on your account.


How to connect via your Reapit account

Navigate to your Reapit software and follow the directions below:

  • Install the InventoryBase Data Sync app on the Reapit marketplace

  • You will receive an email to the email assigned with your Reapit account asking you to login to your Inventory Base account

  • Once you login, Reapit will be successfully connected and you can continue using the integration as normal.


How to connect via your Inventory Base account

Navigate to the Settings tab on your online dashboard > Integrations > scroll down to Reapit > click on the blue 'Connect Reapit':

From here, enter in your Reapit credentials:

Once logged in, your Inventory Base has now been successfully been integrated and you should see the connect button turn yellow, with some additional options shown below:


Syncing properties and appointments

Reapit has many different property types and several statuses that users can customise on their account, so may differ on your what you see below, but will allow you to choose which property types to keep in sync with Inventory Base.

You can manage your desired Reapit settings from the Integrations page.

Click on the blue 'Settings' tab under the Reapit integration to see the property settings for your account.

You can also edit which appointment types will be automatically created on Inventory Base. Everything other than Inventory, Check In and Check Out will be synced as a 'Standalone Inspection' report type with the custom report title. Landlords and tenants are imported when importing appointments.

Important to note: if you do not want to have properties for the appointment types that you have not selected, tick the 'Remove Empty Properties of Unselected Types' at the bottom left corner of the Property Settings box:

If you have set up templates to apply to specific inspection types, these will automatically be applied.

πŸ’‘ Properties are synced daily at 3am and Appointments are synced daily at 4am.


Syncing Contacts

Landlords and any current tenancy will be included on properties sync'd over to Inventory Base, so they can be automatically sent the report when marked complete. You can control which notifications contacts receive by clicking Manage on the Contacts section of a property on Inventory Base:

Current tenants will also be included when properties are sync'd to from Reapit to Inventory Base; however, customers should manage contact data from within Reapit. Editing/deleting them on Inventory Base will only lead to those changes being overwritten each time we sync from Reapit.


Assigning reports to Team members

If you have assigned a Negotiator/Attendee to the appointment on Reapit, providing they exist in your Team on Inventory Base, with the same email address, they will be automatically assigned to the inspection.

If not, you will need to manually assign the report to someone within Inventory Base, or managers can self-assign.


Syncing reports back to Reapit

Once you or your assigned inspector marks the report complete, Inventory Base will automatically generate a PDF copy and upload this to the Property Documents on Reapit, as well as create the associated journal entries.


Import your Reapit External Providers as Approved Suppliers on your Inventory Base account.

We've started taking external providers (other agents/companies) from Reapit into account when importing appointments.

If an appointment has another agent with a name matching an Approved Supplier on your Inventory Base account, our system will match them and assign that Approved Supplier to the imported inspection.


πŸ†• Upload your inspection reports as a 'Final Document' for the tenancy

Our latest update uploads the PDF report to Reapit as a Final Report; this means it will trigger the next scheduled appointment on the tenancy's recurring inspection.

For this to work, the following must be true. If any are not, then we will upload as a standard report, which will not trigger the next scheduled appointment.

  • Appointment must be associated with a tenancy

  • Appointment must be Property Inspection type within Reapit

  • Upload location must be Tenancy


πŸ†• Property Meter Readings

Previously, users had to manually update meter readings for properties in Reapit.

Now, when one of your inspections is marked as 'Complete', our Inventory Base system syncs the meter readings back to a matching property on Reapit.

We take the readings from a Meters block in the report.

We do this for the following types of meters:

  • Gas;

  • Electric; and

  • Water.

The items in the Meters block should have those names so that we can find their reading (condition).

Note: Meter readings are only supported when the matching Reapit property's marketing mode is Lettings or Sales and Lettings. It will not work for Reapit properties that are for sales only.
