Inspection Scheduler: Apply and Manage Schedules on Properties

Apply a schedule to one or multiple properties, choose its start date, view linked schedules, and remove schedules that are no longer required.

Creating a schedule does not automatically apply it to any properties.

Once your schedule has been created, you must link it to the property or properties where you want it to run.

When applying the schedule, you may also need to choose its start date. Inventory Base will then create inspections according to the selected frequency and occurrence.

Before You Start


Before applying a schedule:

  • Create and save the required schedule.

  • Check that the correct inspection type, report source and clerk have been selected.

  • Review the schedule’s frequency and occurrence.

  • Make sure the property has been added to your account.

Apply a Schedule to One Property


  1. Select Properties from the top menu.

  2. Find and open the required property.

  3. Locate Linked Schedules on the property information page.

  4. Select Manage.

  5. Tick the schedule or schedules you want to apply.

  6. Select Apply Schedules.

ℹ️ Contacts linked to the property are also added to future inspections created by the Scheduler.

Review the property contacts before applying a schedule to make sure the correct people are linked.

Choose the Schedule Start Date


Depending on the selected frequency, you may be asked to choose the date from which the schedule should begin.

Select the required start date and confirm the schedule.

The start date works with the selected frequency to determine the dates of the inspections.

For example:

  • A weekly schedule also uses the selected weekday.

  • A monthly schedule repeats from the selected starting point.

  • A custom schedule follows the interval configured within the schedule.

What Happens After the Schedule Is Applied?


Inventory Base creates inspections according to:

  • The schedule’s frequency.

  • The selected start date.

  • The advance-creation window for that frequency.

  • The occurrence limit, if one has been set.

ℹ️ Notes

  • The number of inspections created initially will therefore depend on the frequency. For example, a weekly schedule can create inspections for the next four weeks.

  • Any inspections created when the schedule is first applied count towards its occurrence limit.

View Schedules Linked to a Property


To check which schedules are linked to a property:

  1. Open the required property.

  2. Locate Linked Schedules on the property information page.

  3. Review the schedules shown.

The linked schedule information can also show when the schedule was applied and the next expected inspection date.

View Properties Linked to a Schedule


You can also view every property using a particular schedule.

  1. Go to Properties > Schedules.

  2. Open the required schedule.

  3. Select View Linked Properties.

The linked properties will be listed, and you can select a property to open it.

Apply a Schedule to Multiple Properties


You can apply the same schedule to several properties at once.

  1. Go to Properties.

  2. Use the available filters to find the required properties.

  3. Select Select.

  4. Tick each required property, or use Select All.

  5. Open the bulk actions menu.

  6. Select Apply Property Schedule.

  7. Tick the required schedule.

  8. Select Apply.

This is useful when the same inspection process should run across a group of properties.

Remove a Schedule From a Property


To stop a schedule from creating further inspections:

  1. Open the property.

  2. Find Linked Schedules.

  3. Select Manage.

  4. Deselect or remove the required schedule.

  5. Confirm the change.

Removing the schedule prevents it from creating further inspections for that property.

What Happens to Inspections Already Created?


Removing a schedule does not remove inspections that have already been created.

Any existing inspections remain on the property and must be managed separately if they are no longer required.

This means you may need to review and cancel any future inspections that should no longer take place.

What Happens When the Occurrence Limit Is Reached?


When the schedule creates the maximum number of inspections allowed by its Occurrence setting:

  • The schedule remains linked to the property.

  • It stops creating further inspections.

  • Existing inspections remain in place.

If no occurrence was entered, the schedule continues creating inspections until it is removed from the property.

What To Check If Something Does Not Work

The Schedule Is Not Available to Select

Check that:

  • The schedule was saved successfully.

  • You are viewing the correct account.

  • The schedule has not been removed or deleted.

No Inspections Were Created

Check:

  • The schedule is linked to the property.

  • The selected start date.

  • The selected frequency.

  • Whether the inspection date falls within the advance-creation window.

  • Whether the occurrence limit has already been reached.

Further inspections are checked and created during the overnight Scheduler run, so a newly due inspection may not appear immediately.

The Schedule Has Stopped Creating Inspections

Review the Occurrence setting.

If the occurrence limit has been reached, the schedule remains linked but does not create any more inspections.

Inspections Remain After Removing the Schedule

This is expected.

Removing the schedule stops future creation, but it does not remove inspections that have already been generated.
