Approved Suppliers: Permissions And Branding

Learn how Buyers and Suppliers manage permissions, review the default settings, and choose which account’s branding appears on reports.

Approved Supplier permissions are managed by both accounts.

  • The Buyer controls what the Supplier can do.

  • The Supplier controls what the Buyer can do.

This means some buttons and actions will only be available when the relevant permission has been enabled.

Before You Start


The Approved Supplier invitation must be accepted before the permissions can be managed.

Each account manages its own side of the relationship:

Account

Location

Buyer

Team > Suppliers

Supplier

Clients > Linked Clients

ℹ️ Permissions are managed separately for each Buyer and Supplier relationship.

How The Buyer Manages Supplier Permissions


The Buyer controls what the Supplier can do while working on their inspections.

To review these settings:

  1. Go to Team from the top navigation.

  2. Open the Suppliers tab.

  3. Find the relevant Supplier.

  4. Select the Settings icon.

  5. Review or update the available permissions.

Branding

Chooses whether the completed report uses the Buyer’s or Supplier’s branding.

Allow supplier to create inspections on my account

Allows the Supplier to search the Buyer’s properties and create inspections for them.

Allow supplier to complete and share reports

Allows the Supplier to complete and share reports for the inspections they are working on.

Allow supplier to see internal notes

Allows the Supplier to view internal notes on the inspection.

Allow supplier to update inspection type

Allows the Supplier to change the inspection type.

Choosing The Report Branding


The Buyer controls which account’s branding is used on the report.

The available options are:

The report reflects the Buyer account’s branding.

Supplier

The report reflects the Supplier account’s branding.

The default option is Supplier.

The Buyer should review this setting before assigning work so the correct branding is selected.

How The Supplier Manages Buyer Permissions


The Supplier controls what the Buyer can do with inspections assigned to them.

To review these settings:

  1. Go to Clients.

  2. Open the Linked Clients tab.

  3. Find the relevant Buyer.

  4. Select the Settings icon.

  5. Review or update the Buyer’s permissions.

Allow buyer to re-assign inspections

Allows the Buyer to change who the inspection is assigned to.

Allow buyer to cancel inspections

Allows the Buyer to cancel an inspection assigned to the Supplier.

Allow buyer to reschedule inspections

Allows the Buyer to change the inspection’s scheduled date or time.

Allow buyer to see clerk assigned to job

Allows the Buyer to see which of the Supplier’s clerks has been assigned.

Linking The Buyer To A Client Record


From Clients > Linked Clients, the Supplier can also link the Buyer to an existing client record.

The Supplier can:

  • Select a client record

  • Change the linked client

  • Remove the linked client

  • Manage the Buyer permissions for that relationship

This helps the Supplier organise work received from the Buyer within their own Inventory Base account.

How Permissions Affect The Inspection Workflow


Permissions directly affect which actions are available to each account.

For example:

  • The Buyer may not see options to cancel, reassign or reschedule an inspection if the Supplier has disabled those permissions.

  • The Buyer will not see the Supplier’s assigned clerk unless that permission is enabled.

  • The Supplier cannot create inspections on the Buyer’s account unless the Buyer enables that setting.

  • The Supplier cannot view internal notes or update the inspection type unless the relevant permissions are enabled.

  • The Supplier’s ability to complete and share reports depends on the Buyer’s selected permission.

💡 NOTE: The account that controls the permission must update it before the other account can use the action.

What To Check If An Option Is Missing


The Supplier Cannot Create An Inspection

The Buyer should check that Allow supplier to create inspections on my account is enabled under Team > Suppliers.

The Buyer Cannot Cancel, Reassign Or Reschedule

The Supplier should check the Buyer permissions under Clients > Linked Clients.

The Buyer Cannot See The Assigned Clerk

The Supplier must enable Allow buyer to see clerk assigned to job.

The Supplier Cannot See Internal Notes

The Buyer must enable Allow supplier to see internal notes.

The Supplier Cannot Change The Inspection Type

The Buyer must enable Allow supplier to update inspection type.

The Wrong Branding Appears On The Report

The Buyer should open the Supplier settings and check whether Buyer or Supplier is selected under Branding.

What To Do Next


Once the permissions and branding have been reviewed, the Buyer can assign an inspection to the Supplier.
