Approved Suppliers: Creating Inspections For A Buyer

Learn how Buyers allow Approved Suppliers to create inspections against properties in their Inventory Base account.

Normally, the Buyer creates an inspection and assigns it to an Approved Supplier.

The Buyer can also allow a Supplier to create inspections directly against properties in the Buyer’s account.

This is useful when the Supplier needs to arrange or create the inspection on the Buyer’s behalf.

Before You Start


Before a Supplier can create an inspection for a Buyer:

  • The Approved Supplier invitation must have been accepted.

  • The Buyer must enable Allow supplier to create inspections on my account.

  • The Supplier must create the inspection from their own Inventory Base account.

  • The actions available afterwards will depend on the permissions configured between the Buyer and Supplier.

ℹ️ Notes

  • This permission becomes available as soon as the Supplier accepts the invitation.

  • By default, the permission is switched off.

How The Buyer Enables The Permission


These steps are completed by the Buyer.

  1. Select Team from the top of your online dashboard

  2. Open the Suppliers tab.

  3. Find the relevant Supplier.

  4. Select the Settings icon.

  5. Enable Allow supplier to create inspections on my account.

  6. Save the changes.

ℹ️ Notes

  • By default, this permission is switched off.

  • The Buyer can manage it separately for each Approved Supplier.

Where The Buyer’s Properties Appear


The properties only become available when the Supplier creates a new inspection and chooses an existing property.

This means the Supplier can use the property for the new inspection without the property being imported into their own property list.

⚠️ Important

Enabling this permission does not add the Buyer’s properties to the Supplier’s account.

The Buyer’s properties will not appear:

  • In the Supplier’s main Properties list

  • Under the linked Buyer’s Properties tab

  • As properties owned or managed by the Supplier

How The Supplier Creates An Inspection


These steps are completed by the Supplier.

  1. Select Add New Inspection.

  2. Choose the option to create the inspection using an existing property.

  3. Open the property selection list.

  4. Find and select the required property from the Buyer’s account.

  5. Complete the inspection details.

  6. Create the inspection.

The Buyer’s properties appear within the property selection step because the Buyer has granted the Supplier permission to create inspections on their account.

ℹ️ Notes

  • The Supplier is automatically assigned to the inspection they create.

  • They can then assign the inspection to one of their own clerks and continue with the normal Approved Supplier workflow.

What Happens After The Inspection Is Created


Once the Supplier creates the inspection:

  • The inspection is connected to the Buyer’s property.

  • The Supplier is automatically assigned.

  • The Supplier can assign one of their clerks.

  • The Buyer account Owner receives an email confirming that an inspection has been created for the property.

  • Both accounts can follow the inspection through the Approved Supplier workflow.

The normal workflow is then:

  1. The Supplier assigns a clerk.

  2. The clerk completes the report.

  3. The Supplier selects Submit For Review.

  4. The Buyer receives the report for review.

  5. The Buyer requests changes or marks the inspection complete.

How Other Permissions Affect The Inspection


Allowing the Supplier to create inspections does not automatically enable every other action.

The Buyer should also review the following settings under Team > Suppliers:

Setting

Branding

Chooses whether the report uses the Buyer’s or Supplier’s branding.

Allow supplier to complete and share reports

Allows the Supplier to complete and share reports directly.

Allow supplier to see internal notes

Allows the Supplier to view internal notes on the inspection.

Allow supplier to update inspection type

Allows the Supplier to change the inspection type.

The Supplier also controls whether the Buyer can:

  • Reassign inspections

  • Cancel inspections

  • Reschedule inspections

  • See the clerk assigned to the job

Removing The Permission


The Buyer can prevent the Supplier from creating new inspections at any time.

To remove the permission:

  1. Go to Team > Suppliers.

  2. Find the relevant Supplier.

  3. Select the Settings icon.

  4. Switch off Allow supplier to create inspections on my account.

  5. Select Update.

ℹ️ Once disabled, the Supplier will no longer be able to select the Buyer’s properties when creating new inspections.

What To Check If Something Does Not Work


The Buyer’s Properties Do Not Appear

The Buyer should check that:

  • The Supplier has accepted the invitation.

  • The Approved Supplier relationship is still active.

  • Allow supplier to create inspections on my account is enabled.

  • The correct Supplier relationship was updated.

The Supplier should also make sure they are:

  1. Selecting Add New Inspection

  2. Choosing an existing property

  3. Checking the property selection list during inspection creation

The Buyer’s properties will not appear in the Supplier’s normal Properties list.

The Supplier Can See The Property But Cannot Complete Another Action

Creating inspections is controlled separately from the other Approved Supplier permissions.

The Buyer should review the Supplier settings under:

Team > Suppliers

The Supplier should review the Buyer settings under:

Clients > Linked Clients

The Buyer Did Not Receive The Notification Email

Check that:

  • The inspection was created using a property from the Buyer’s account.

  • The Buyer account Owner’s email address is correct.

  • The email has not been filtered into a junk or spam folder.

The Wrong Branding Appears On The Report

The Buyer should check the Branding setting under Team > Suppliers.

The available options are:

  • Buyer

  • Supplier

The Supplier Cannot See Internal Notes

The Buyer must enable Allow supplier to see internal notes.

The Supplier Cannot Change The Inspection Type

The Buyer must enable Allow supplier to update inspection type.

What To Do Next


Once the inspection has been created, the Supplier can assign a clerk, complete the report and submit it to the Buyer.
