Learn how to set up and manage SMS notifications in Inventory Base. Notify contacts automatically about inspections, manage SMS credits, and support international messaging for seamless communication.

SMS Notifications in Inventory Base allow you to automatically alert your clients, tenants, or contractors about upcoming inspections. These notifications help improve communication, reduce missed appointments, and ensure everyone stays informed.


Getting Started

1. Begin with adding your Contacts to your property or inspection.

2. The Contact must have a valid mobile number in order for the SMS option to be selectable.

💡 Tip: Always double-check mobile numbers before assigning inspections to ensure delivery success.

The system handles this automatically—no manual action needed.


SMS Notification Costs

Depending on your region, SMS messages are charged as follows:

  • 🇿🇦 South Africa: R1 per SMS

  • 🇬🇧 United Kingdom: 8p per SMS

  • 🇦🇺 Australia: 5c per SMS

  • 🇺🇸 United States: 4c per SMS

You can reduce your cost per SMS by purchasing bulk credit packs.

Low SMS Credit Threshold Alerts

Set a low SMS credit threshold to get automatic alerts when your balance is low, ensuring uninterrupted notifications and seamless communication with clients.

1. Navigate to your Settings tab at the top of your online dashboard. Under General Settings, scroll down to the SMS Reminder option.

  • When your balance drops below this number, you’ll receive an email alert.

  • This helps prevent message interruptions and ensures your notifications continue without delay.

💡 Tip: Set your threshold slightly above your average weekly usage to stay proactive.


Sending SMS to International Numbers

1. Navigate to your Settings tab at the top of your online dashboard. Under General Settings, scroll down to the Data Management >> Phone Number Input Format.

2. Select International from the dropdown list.

3. Once enabled, you’ll see a dropdown list of international dial codes next to the phone number field.

💡 Note: The system saves all international numbers in the correct format for accurate delivery. Contact our Support Team to enable International SMS on your account.


Receiving SMS Replies

SMS replies from contacts are delivered directly into Internal Messaging, keeping all communication within the inspection for easy tracking and management.

1. Navigate to the inspection on your account. On the Info page, you’ll find the Internal Messaging section, which lets you send messages to specific stakeholders related to that inspection — for example, the assigned Manager or Client.

2. If a contact replies to an SMS notification, their response will automatically appear in the inspection’s Internal Messaging section.
