The Alto integration allows you to sync properties, appointments, negotiators, and contact information directly into Inventory Base.
This ensures your property data remains up to date across both platforms while reducing manual data entry and improving workflow efficiency.
Capabilities

Import properties (create/update properties)
Import appointments to create/update inspections
Import negotiators
Sync contact information (email address and phone number)
Sync approved suppliers (see section below)
Inventory Base → Alto
Sync completed PDF inspection reports back to Alto as property or tenancy documents
Getting Connected
Navigate to Settings at the top of your dashboard and click Integrations.
Scroll down to Alto Integration and click Connect Alto.
Follow the prompts in the pop-up window to connect via your Alto Marketplace page.
Once connected, you will see the available Alto integration settings.
Syncing Properties from Alto
1. Click Manage property filters under the Alto settings.
2. Tick the data you want to import:
Property Categories
Property Statuses
Management Types
3. Click Sync Properties to begin importing properties.
⚠️ To avoid duplication, ensure property addresses match exactly in both Alto and Inventory Base.
If the system finds an exact address match, it will update the existing property.
If no match is found, a new property will be created.
4. Once complete, you will see a confirmation pop-up.
5. Every property synced from Alto will have its own Alto ID, linking it directly to the corresponding property in Alto.
Setting Up Appointment Entry Types
1. Click Manage appointment entry types under Alto settings.
2. Map each Alto appointment type to the corresponding Inventory Base inspection type.
Select the relevant inspection type from the dropdown list.
Click Sync appointment entry types to apply.
⚠️ Only appointments that match your configured appointment entry types will be imported.
Managing Negotiators
Only appointments from selected negotiators will import as inspections.
1. Click Manage negotiators.
2. Click Sync negotiators to refresh the list.
3. Tick the negotiators whose appointments you want to import.
Your selections will auto-save.
Syncing Appointments (Inspections)
1. Click Sync inspections under Alto settings.
2. The system will begin importing appointments.
Once complete, a banner will confirm:
New inspections created
Existing inspections updated
⚠️ Appointments will only import if property filters, appointment types, and negotiator settings have been configured correctly.
3. Once a property and its relevant appointments have been created/synced from Alto, you will see this listed on your Inventory Base account.
Syncing the PDF Report Back to Alto
Under Alto settings, click the dropdown next to Upload Report Deliverable.
Options:
Disabled – Report will not sync
To Property – PDF uploads to the Property Documents tab
To Tenancy – PDF uploads to the relevant tenancy
If using To Tenancy, ensure a tenancy is selected on the Info tab of the inspection.
2. Once you mark the inspection as Complete on Inventory Base, the PDF will automatically sync to Alto.
3. In Alto, navigate to the property or tenancy and open the Documents tab to view the report.
Approved Supplier Sync
If a contact linked to an inspection in Alto has the category “Supplier”, they will be imported as the Approved Supplier in Inventory Base.
How Matching Works
When syncing the approved supplier:
The system first attempts to match the supplier using their email address.
If no match is found, the system will attempt to match using the contact name.
⚠️ Company name is not currently used for matching.
If no match is found, the supplier will still sync based on the available contact details.
Important Notes
Ensure contact email addresses are accurate in Alto to improve matching.
If a supplier is not matching as expected, check the email address first.
Property address matching must be exact to avoid duplication.
