Assigning Contacts to Specific Rooms (HMO Workflow)

Assign contacts to specific rooms within an inspection to control what each person can see when viewing their report. Ideal for HMOs, shared properties, or multi-party inspections where each contact should only access the rooms assigned to them.

This feature allows you to assign individual rooms in an inspection to specific contacts (e.g., tenants or landlords). When the report is completed, each contact will only see their assigned rooms—plus any unassigned or shared rooms—when viewing the report through their unique web link.

This is especially useful for:

  • HMO properties

  • Shared tenancies

  • Multi-party inspections

  • Rooms with different occupants

It ensures clarity, privacy, and accurate reporting for everyone involved.

1. Start off by adding all the relevant contacts to your inspection.

2. Once you editing your report, click on the three-dot menu next to section/room that you want to assign to a specific contact.

Click on the Manage Assigned Contacts button.

3. Choose the contact who should have access to this section/room.

4. Once you are done editing, mark the report as Complete to automatically send out final report to each Contact, who will receive their own unique link to the web report.

ℹ️ Each contact’s unique report link will show only the sections/rooms assigned to them, plus any general specific sections/rooms that are not assigned to a specific person.

Example:

  • Assign Room 1 → Tenant 1

  • Assign Room 2 → Tenant 2

  • Leave Kitchen unassigned (both will see it)


Best Practices

  • Use this feature for HMO inspections or any scenario where visibility should differ between contacts.

  • Keep shared rooms unassigned so all contacts can view them.

  • Double-check assignments before completing the report to ensure accuracy.

  • If a contact shouldn’t see other occupants’ rooms, make sure each room is assigned correctly.
