Heads-Up Reports

Configure your settings to send selected sections/rooms from your main report to your Client during the report lifecycle or when Complete.

A Heads-Up Report is a simplified version of your inspection report that is automatically shared with your client.

Instead of sending the full report, you can choose specific rooms or sections to include—giving your client early visibility of key information while you continue working on the inspection.

Why Use a Heads-Up Report?


Heads-Up Reports are designed to improve communication during the inspection process.

They help you:

  • Share important updates with your client as you progress

  • Highlight specific areas that need attention

  • Reduce unnecessary back-and-forth

  • Keep clients informed without overwhelming them

How It Works


A Heads-Up Report is generated based on your settings and sent automatically at a chosen stage of the inspection.

Typical workflow:

  1. Select which rooms or sections to include

  2. Complete those sections in your inspection

  3. Mark the report at your chosen trigger stage (e.g. Active or Review)

  4. The Heads-Up Report is automatically sent to the assigned client

Example: How a Heads-Up Report Works


Use the example below to understand how a Heads-Up Report is generated and sent:

  1. Settings are configured to include only specific rooms (e.g. Kitchen/Dining Room)

  2. The selected sections are completed within the inspection

  3. The report reaches the selected trigger stage (e.g. Review)

  4. The Heads-Up Report is automatically sent to the assigned client

This allows the client to view key information early, without waiting for the full report.

What Does the Client See?


The client receives a clean, simplified report that includes:

  • Only the rooms or sections you selected

  • Any notes or comments added so far

  • A clear, easy-to-read layout

This allows them to quickly review key information without needing the full report.

How to Enable Heads-Up Reports


1. Go to the Settings tab on your online dashboard.

You can enable Heads-Up Reports:

  • For all inspection types, or

  • For a specific inspection type

Where You Can Enable This Feature

Heads-Up Reports can be enabled at:

  • Account level (inspection types)

  • Client level

  • Individual inspection level

This gives you flexibility depending on your workflow.

3. Select when the Heads-Up Report should be sent to the client. (e.g. when the report becomes Active or moves to Review)

4. Click Manage to customise your Heads-Up Report.

Notes

Enter Room Names

Add the specific room names you want included in the Heads-Up Report sent to your client.

Room names are not case-sensitive — uppercase or lowercase entries work the same.

Title

Enter the title you want to use for this Heads-Up Report.

If left blank, the system will automatically apply: “Heads-Up Report for… [existing report title]”.

Include All Rooms

When toggled On, all rooms from the inspection will be included in the Heads-Up Report.

Any rooms already written will be overridden.

Require Review

Ensures the Heads-Up Report is generated based on your selected trigger (e.g., upon Active, upon Review). The report will remain in Review for you to check before marking as Complete.

Helps you verify the report before it is sent to the client.

Customising Your Report Layout


Configure your Heads-Up Report settings to control how the report looks and behaves before it’s sent to your client. Customising these options helps you maintain consistency, save time, and ensure your reports are always presented exactly the way you need.

To control how your Heads-Up Report looks:

  1. Go to Settings → Reports

  2. Select the Heads-Up Report from the drop-down options

  3. Update your report layout and settings

This ensures your report is presented clearly and consistently.
