What is a Heads-Up Report?
A Heads-Up Report is a simplified, customised version of your main inspection report that is sent directly to the Client assigned to the inspection. It includes only the rooms or sections you choose, giving the client early visibility of key information without showing the full report.

Provides clients with focused, relevant updates.
Speeds up communication during the inspection lifecycle.
Reduces back-and-forth by sharing only what needs attention.
Helps teams deliver a more streamlined and responsive reporting process.
What It Contains
A Heads-Up Report typically includes:
Selected rooms or sections
Any notes or comments captured so far
A clean, easy-to-read layout for quick client review
Example of a Heads-Up Report
Use this sample to understand how the report is structured and how your chosen settings (rooms, titles, review options) appear to the client.
1. Settings have been configured to only send the Kitchen/dining room within the Heads-Up Report.
2. Section is present within my report.
3. Once I marked the report as Review, the assigned Client was emailed the Heads-Up Report.

Enabling the Heads-Up Report Feature
1. Navigate to your Settings tab on your online dashboard.
You can enable this for All Inspection Types, or choose a specific inspection type to enable this for from the dropdown.
💡 TIP: You can enable the Heads-Up Report at either the Client level or for individual inspections.
Go to the Settings tab for the Client or the specific Inspection and follow the same steps to switch it on.
2. Scroll down to Heads-Up Reports and toggle On to enable the feature.
3. Choose from the dropdown list for the specific point you want the Heads-Up report to be sent out to the set Client.
4. Click on Manage to further configure settings for your Heads-Up Reports.
5. You will be able to configure the following Heads-Up Report Settings:
Setting | Description | Notes |
Enter Room Names | Add the specific room names you want included in the Heads-Up Report sent to your client. | Room names are not case-sensitive — uppercase or lowercase entries work the same. |
Title | Enter the title you want to use for this Heads-Up Report. | If left blank, the system will automatically apply: “Heads-Up Report for… [existing report title]”. |
Include All Rooms | When toggled On, all rooms from the inspection will be included in the Heads-Up Report. | Any rooms already written will be overridden. |
Require Review | Ensures the Heads-Up Report is generated based on your selected trigger (e.g., upon Active, upon Review). The report will remain in Review for you to check before marking as Complete. | Helps you verify the report before it is sent to the client. |
Customising Your Heads-Up Report Layout & Settings
Configure your Heads-Up Report settings to control how the report looks and behaves before it’s sent to your client. Customising these options helps you maintain consistency, save time, and ensure your reports are always presented exactly the way you need.
1. Navigate to your Settings tab on your online dashboard.
Scroll through the inspection types and select the Heads-Up Report.
2. Configure the report layout and settings for your Heads-Up Reports.
