Price Lists within Inventory Base

Our dynamic price lists feature enables you to establish tailored pricing for each inspection type based on the property's details.

Our Price Lists feature allows you create one or more pricing options based on property details like the number of bedrooms, furnishing level, and inspection type. You can label different prices for specific situations, such as having separate lists for furnished and unfurnished 2 Bedroom Houses. This helps you accurately manage pricing for various property types.


Getting Started

  1. Navigate to the Settings tab at the top of your online dashboard >> click on the Price Lists tab and toggle On the Price Lists feature:

2. When this is enabled, you'll find the option to add your price lists either at the top right of the page or at the bottom:

3. Click Add New Price List to create begin. Fill in the fields and click on Create Pricelist:

💡 We encourage you to update all the fields when creating your pricelist, such as changing the Property Type to House and setting the number of Bedrooms to 2.

This will enable the system to automatically determine the price when creating an Inspection for this property type.

4. Once you create the pricelist for a specific property type, add your pricing for each inspection type.

Price

The standard cost for the inspection service.

Additional Price

Extra fees for any additional inspection services requested.

Additional Per Area

Charges for inspecting each extra area, such as additional rooms or sections of the property.

Clerk Fee

Fee paid to the clerk.

Margin

The profit made from the inspection after deducting costs.

As you input your prices, the system will automatically save the information.

You have the option to create one or multiple pricing lists. These pricing lists can be tailored to specific property attributes, such as the number of bedrooms, level of furnishing, and the type of inspection.

Examples:

  • 1 Bedroom, Furnished (Label: 1B FUR)

  • 2 Bedroom, Unfurnished (Label: 2B UNF)

💡 We recommend creating multiple pricing lists to account for the different property types, sizes, and furnishing levels you might encounter in your account.

For instance, if you have varying prices for a Furnished versus an Unfurnished 2 Bedroom House, you should set up two separate price lists to reflect these differences.


How is the Price List Applied?

Our Price Lists feature helps you find the most relevant pricing options based on specific criteria. The system takes several factors into account to determine the appropriate price list for your needs.

Factors Considered

  1. Inspection Type;

  2. Property Type;

  3. Furnishing Type;

  4. Number of Bedrooms; and

  5. Number of Bathrooms

How Price Lists are Selected

  1. Full Matching

    The system first attempts to match all the above factors. If it finds one or more price lists that meet all criteria, those will be displayed for you to choose from.

  2. Partial Matching

    If there’s no complete match, the system will gradually relax the criteria, checking combinations of the following until it finds a match:

    • Property Type

    • Furnishing Type

    • Number of Bedrooms

    • Number of Bathrooms

  3. The order of checks is as follows:

    • Property Type, Furnishing Type, Number of Bedrooms

    • Property Type, Furnishing Type

    • Property Type, Number of Bedrooms

    • Furnishing Type, Number of Bedrooms

    • Property Type

    • Number of Bedrooms

    • Number of Bathrooms

    • Number of Bedrooms (as a last resort)

This step-by-step approach ensures that you are provided with the most relevant price lists available, based on the information you provide.


Price Lists on your Inspection

1. When you create an inspection, you'll find the Pricing tab at the bottom of the page.

This tab displays the most applicable price list that corresponds to the property's details.

2. If you need to update the price list, click the dropdown arrow next to the Pricelist heading.

Choose the price list that best fits the inspection you're creating:

3. After creating the inspection, click on the Invoices tab to view the applied price list.

💡 On the Team Pro plan, clerks will have access to their cost figure, which is determined by subtracting the Margin from the Total.


Price Lists for Specific Clients

  1. Go the Clients tab at the top of your online dashboard. Search for and select the client, then click on the Price Lists tab for that client.

  2. Select the price list you wish to configure for this client, and you can override the default pricing you set up earlier.

  3. The new pricing will be automatically applied to all future inspections for that client.

💡Clients will see the quoted total in their Inspection Details view.


Importing Price Lists via CSV

1. Navigate to the Pricelist Importer tab on your online dashboard and download the sample CSV template.

We recommend reading the information points (in blue), as they contain crucial details to help ensure a successful import.

2. Complete the CSV template with the relevant information. The following fields are also optional when importing from a CSV:

  • Prices

  • Property furnishings

  • Property types

  • Clerk fees

  • Margins

  • Additional fees

The Price List import works by matching price lists and prices on your account using IDs. You can view these IDs by exporting a price list, which is the recommended first step.

If a price list or price does not exist, it will be created automatically. It's crucial to ensure that the price list ID, price ID, and client ID are accurate; otherwise, you risk updating the wrong price list or failing to import correctly.
