This useful feature allows you to import data from third party software or APIs, like Live weather conditions, building sensors, land registry data or your property management software. Automatically embed this data into reports at the time of starting them via Merge Fields.

Firstly, got to your Settings tab on your Desktop Dashboard. Scroll down the page to the 'External Data Source For Custom Fields' box:

Ensure that this feature is switched 'On'.

Thereafter, you can navigate to the property you'd like to add the external data to, and on the right side panel, you will see 'Custom Fields'. Click on 'Manage':

Click on 'Add New Field':

  • Name - input the name you'd like the Custom Field to have.

  • Show in Filter List - this will list your Custom Field on your property.

  • External Data Source - ensure that this is switched on so you can input the data source.

  • Data Source - you can select a specific integration as a source, or use a URL source

  • Field Key - this is what the custom field is called on the integration. In case of URL, this is a way to access the value from whatever is returned by the URL.

  • Update Frequency - here you can control how often you want the data to sync.

When the source is a URL, you can build the URL by using any field that is available on the property by putting it in brackets {} like on the screenshot:

Available fields for customising URLs are:

id
ref
address.line1
address.line2
address.city
address.county
address.postcode
geocoords.lat
geocoords.lng
