Copy Parts of a Previous Report into a New Inspection

Reuse the layout of a previous report without carrying over its data, so you can save time while keeping reports consistent.

Inventory Base allows you to selectively reuse elements from a previous report, so you can tailor a new inspection without importing unnecessary data. Whether you want just the structure, the structure + descriptions, or only the rooms, these options help you save time, maintain accuracy, and create reports that fit your workflow.

1. From your online dashboard, create a new inspection for your chosen property.

2. Under Template, click the drop-down arrow.

3. Choose one of the following copy options:

Copies all data from the previous report excluding photos.

Copy from Previous Report (Structure Only)

Copies only the layout (rooms, sections, and items). Does not include any answers, actions, photos, or attachments.

Copy from Previous Report (Structure and Descriptions Only)

Copies the layout and descriptions from the previous report but leaves out photos, actions, and answers. Ideal when you want context but need new conditions.

Copy from Previous Report (Rooms Only)

Copies only the room list without items, descriptions, or attachments. Useful for quickly setting up inspections with the same property layout.

4. Complete the remaining inspection details, including title, date, and assigned clerk.

  • Use Structure Only or Rooms Only when you want a clean template without pre-filled data.

  • Use Structure and Descriptions Only when you want reference text but need fresh answers.

  • Always review the new report to confirm that only the intended data has been imported.
