Two methods on how to manage HMO reports using InventoryBase

A house in multiple occupation (HMO) is a property rented out by at least 3 people who are not from 1 'household' (for example a family) but share facilities like the bathroom and kitchen. It's sometimes called a 'house share'.

There are two methods for completing HMO reports using InventoryBase:

  • Create multiple properties for each room

  • Create multiple inspections for one property

Method One - Multiple properties for each room

This method is probably the easiest way to conduct HMO reports using InventoryBase, especially if each occupant is checking in and out on different days.

Treat each room as though it was a separate property, and conduct the reports as usual using InventoryBase.

Method Two - Multiple inspections for one property

This method is slightly less easy than the previous one, however, you may find this more suitable for your needs, especially if you have reached your property allowance. You can also copy across data including photos, from one report to the other using this method.

Firstly, create the property into your InventoryBase account. You will then need to create an Inspection for each room.

Rename the report title to the specific room you are creating the report for, this will save confusion for the check out.

Conduct the report as usual and repeat for each room.

To create a Check Out for a room, navigate to the property in question and select Add New Inspection. Choose Check Out from the Report Type dropdown menu and make sure the you select the correct room to pull the data from, you will have to manually select this from the Template dropdown menu. Click Load from Inspection.

A pop up will then appear for you to choose which inspection the Check Out will pull from. You will be able to tell which report is which from the room number you previously input in the Report Title.

Input the rest of the check out information and select Save and Continue.

Complete the Check Out report as usual. Repeat this step each time you need to do a Check Out report against a room, selecting the correct room accordingly.
