Resizing and converting your photos before upload ensures the fastest, most reliable experience on the InventoryBase portal. By keeping files small and in the correct format, you’ll reduce upload times, avoid compatibility issues, and keep your property reports running efficiently.
❗ This guide applies only to users manually uploading photos via the online portal (not through the InventoryBase App).
Why Resize Your Images?
When uploading photos to reports, Inventory Base automatically optimises images for web and print. However, optimisation happens after upload, so large photos can still take longer to send — especially on slower internet connections.
If your original photos are several megabytes in size (2MB–5MB), resizing them first will:
Reduce upload time
Improve report generation speed
Prevent upload errors due to large file sizes
Supported File Formats
InventoryBase supports the JPEG (.jpg or .jpeg) format for image uploads.
💡 Unsupported formats such as HEIC (used by iPhones) and PNG may cause compatibility issues and must be converted before uploading.

How to Resize Your Photos
Install the Image Resizer tool from the link above.
In your file explorer, select all the photos you want to resize.
Right-click the selected files and choose “Resize pictures.”
In the Resize dialog box:
Select Small (recommended for InventoryBase uploads).
Optional: Tick “Replace the originals” if you have backups — resized copies are saved in the same folder by default.
Click Resize, and your optimised photos will be ready to upload.
Uploading to InventoryBase
Once resized and converted to JPEG:
Go to your inspection report in the online portal.
Upload your optimised photos as usual.
You’ll notice faster upload speeds and smoother report generation — even when working with many images.
