The Report Workflow is the foundation of Inventory Base, providing a clear structure for how inspections progress from creation to completion.
Understanding each stage helps users manage inspections efficiently, maintain consistency, and ensure a smooth reporting process.
Workflow Stages Explained
Stage | What It Means | Key Actions |
Pending | The inspection has been created but not yet assigned to an inspector. | Assign an inspector to move it forward. |
Assigned | The inspection is scheduled and assigned. The inspector can now access it via the mobile app. | Inspector downloads and prepares to start. |
Active | The inspection is currently in progress, either on the app or being edited online. | Continue capturing details, photos, and notes. |
Processing (optional) | The report has been submitted for typing or editing by an assigned typist. | Typist transcribes and prepares the report draft. |
Review (optional) | The report is under management review before publishing or sharing. | Reviewer checks, edits, and approves as needed. |
Complete | The report is finalised and available online and as a PDF. Comments and signatures can still be added. | Review, share, and collect digital signatures. |
Closed | The report is locked and no further edits or signatures can be made. | The process is fully complete and archived. |
Cancelled | The inspection was cancelled before a report was produced. | No further action required. |
